Privacy Policy

This Privacy Policy explains how Athencia LLC, a Washington limited liability company, dba RE Microsites ("RE Microsites," "we," "us," or "our") collects, uses, discloses, stores, and protects personal information when you use our website, dashboard, hosted property microsites, and related services (collectively, the "Service").
RE Microsites is a U.S.-focused SaaS product for individual real estate agents.
1. Information We Collect
The information we collect depends on how you interact with the Service.
Account Information
When an agent creates or uses an account, we may collect:
- Name;
- Email address;
- Authentication information;
- Profile information;
- Agent headshot;
- Brokerage or professional information;
- Account preferences; and
- Communications with us.
Authentication is provided through Clerk and currently supports email/password authentication and Google OAuth.
Billing Information
Payments are processed through Stripe.
We may receive information such as:
- Stripe customer identifiers;
- Subscription status;
- Billing status;
- Payment status;
- Plan information; and
- Limited transaction information.
We do not directly store full payment-card numbers.
Property and Site Information
We collect information agents enter when creating microsites, including:
- Property address;
- Price;
- Bedrooms and bathrooms;
- Square footage;
- Lot size;
- Year built;
- Property type;
- Listing status;
- Listing descriptions;
- Listing photos;
- Agent information; and
- Other property-marketing content.
Lead Information
Visitors to public microsites may submit:
- Name;
- Email address;
- Telephone number; and
- Inquiry or message information.
Lead information is stored in RE Microsites and made available to the agent responsible for the microsite.
Each lead may also trigger a transactional email notification to that agent.
RE Microsites does not use buyer lead information for its own marketing.
Technical and Usage Information
We collect limited first-party usage information, including public-microsite page views.
Public microsite analytics are:
- First-party;
- Script-less;
- Stored in our own PostgreSQL database; and
- Not provided through a third-party analytics service.
We do not use Google Analytics, Simple Analytics, Meta Pixel, advertising pixels, behavioral-advertising trackers, or cross-site analytics on public microsites.
2. Cookies
Public microsites do not use analytics cookies, marketing cookies, or third-party tracking scripts.
The logged-in RE Microsites dashboard uses Clerk session technology as necessary to authenticate users and maintain secure login sessions.
Those authentication mechanisms are used for service functionality and security, not advertising.
3. How We Use Information
We use personal information to:
- Create and maintain accounts;
- Authenticate users;
- Provide the RE Microsites dashboard;
- Host and publish microsites;
- Store property content and media;
- Connect or register domains;
- Process subscriptions and billing;
- Receive and route buyer leads;
- Display leads to agents;
- Send transactional lead notifications;
- Send account, billing, dunning, domain, and lifecycle communications;
- Generate AI-assisted listing content when requested;
- Measure first-party page views;
- Provide customer support;
- Maintain and secure our systems;
- Diagnose technical issues;
- Detect fraud, abuse, and unauthorized access;
- Enforce our agreements;
- Comply with legal obligations; and
- Protect our users, Service, and business.
At launch, we do not operate a newsletter or use customer or lead information for general marketing email campaigns.
4. Buyer Lead Information
RE Microsites processes buyer lead information solely to provide the Service to the agent operating the relevant property microsite.
Lead information may be:
- Stored in our database;
- Displayed in the agent's dashboard; and
- Sent to the agent through a transactional email.
We do not:
- Sell buyer lead information;
- Use buyer leads for our own marketing;
- Share buyer leads for cross-context behavioral advertising; or
- Submit buyer lead information to AI language models for listing-content generation.
The real estate agent receiving a lead may independently determine how that information is used after receipt.
Questions about an agent's use of your information should generally be directed to that agent.
5. AI-Assisted Listing Content
RE Microsites provides optional AI-assisted tools that may generate listing headlines, bullet points, and descriptions.
When an agent requests AI-generated content, we may transmit property information through OpenRouter to underlying AI model providers, including Google Gemini and Anthropic Claude.
Information sent for this purpose may include:
- Property address;
- Price;
- Bedrooms and bathrooms;
- Square footage;
- Lot size;
- Year built;
- Property type;
- Listing status; and
- The agent's manually entered property description.
We do not intentionally send buyer lead information to AI providers.
AI-assisted generation is routed through OpenRouter using Zero Data Retention (ZDR) controls: every request is restricted to provider endpoints that OpenRouter classifies as ZDR-compatible for the selected model. If no such endpoint is available, the request fails rather than being routed to a non-ZDR provider.
Prompt logging is not intentionally enabled on our side.
ZDR restricts providers from retaining your information beyond transient processing needed to generate a response, subject to their security practices and legal obligations. No data-transmission method can guarantee that information is never processed or never exists temporarily in provider systems.
Agents should avoid entering unnecessary personal or sensitive information into property-description fields used for AI generation.
6. How We Disclose Information
We disclose personal information only as reasonably necessary to provide, secure, and operate the Service, or where required by law.
Clerk
Clerk provides authentication and may process account and authentication information.
Stripe
Stripe processes subscription and payment information.
Cloudflare
Cloudflare provides DNS-related infrastructure, R2 object storage for listing photos and agent headshots, and email routing for our support mailbox. Communications sent to hello@remicrosites.com are forwarded through Cloudflare.
Uploaded media is stored exclusively in Cloudflare R2.
Uploads may be transferred directly from the user's browser using presigned upload URLs.
name.com
name.com provides domain-registration and DNS services for domains registered through RE Microsites.
Resend
Resend provides transactional email delivery and may process recipient addresses and email-delivery metadata.
Microsoft 365
Our customer-support mailbox, hello@remicrosites.com, is hosted on Microsoft 365. Emails forwarded to that mailbox may be processed and stored within Microsoft 365.
OpenRouter and AI Model Providers
OpenRouter routes AI content-generation requests to supported model providers, including Google and Anthropic.
Hetzner
Our application infrastructure and self-hosted PostgreSQL database run on Hetzner infrastructure.
Legal and Safety Disclosures
We may disclose information if reasonably necessary to:
- Comply with law, regulation, subpoena, court order, or legal process;
- Respond to lawful governmental requests;
- Investigate fraud or security incidents;
- Enforce agreements;
- Protect our rights or property;
- Protect users or third parties; or
- Prevent unlawful or harmful activity.
Business Transactions
If Athencia LLC is involved in a merger, acquisition, financing, restructuring, bankruptcy, or sale of assets, information may be transferred as part of that transaction.
7. Sale, Sharing, and Targeted Advertising
RE Microsites does not sell personal information.
We do not share personal information for cross-context behavioral advertising.
We do not use personal information for targeted advertising across unrelated websites or services.
We do not use advertising pixels on public microsites.
8. Domain Information
RE Microsites supports both customer-owned domains and domains registered through our name.com account.
For domains brought by customers:
- The customer retains ownership;
- RE Microsites uses only the DNS configuration necessary to connect the domain to the Service; and
- We do not modify MX records.
For new domains registered through RE Microsites:
- The customer is the registrant of record and the owner of the domain;
- Registration uses the registrant contact information the customer provides (name, address, phone, and email), which is shared with our registrar, name.com, as necessary to complete the registration; and
- RE Microsites manages the domain on the customer's behalf through its registrar relationship.
Domain registration requires us and our registrar to collect registrant contact information. Some registration data may be published, redacted, or made available to authorized requesters in accordance with applicable registrar, registry, ICANN, and legal requirements.
Registrations created before August 24, 2026 used our contact information as part of earlier registration handling; contact us to update registrant details on such domains.
Domain-registration records may remain after account deletion if required by registry, registrar, ICANN, legal, or operational requirements.
9. Data Storage
Primary application data is stored in a self-hosted PostgreSQL 16 database running in Docker on infrastructure hosted by Hetzner.
Listing photos and agent headshots are stored in Cloudflare R2.
We use encrypted off-site backups for disaster recovery.
10. Data Retention and Deletion
Cancellation does not automatically delete information.
When an agent cancels or an account is paused after unsuccessful payment retries:
- Published microsites are placed into a neutral unavailable state;
- Account information remains stored;
- Property records and site content remain stored;
- Uploaded photos and media remain stored;
- Buyer lead information remains stored;
- Customer-owned domains are disconnected but otherwise left unchanged; and
- Domains registered through RE Microsites remain registered until transferred or allowed to expire.
Deletion occurs only after a verified request from the account holder.
Until a self-service deletion feature is available, requests may be submitted to:
We complete verified deletion requests within 30 days.
Deletion from active systems includes:
- Account profile information;
- Property records;
- Site content;
- Listing photos;
- Agent headshots;
- Other uploaded media; and
- Buyer lead personal information, including names, email addresses, and telephone numbers.
We may retain non-personal or anonymized aggregates, including anonymized page-view counts.
We maintain encrypted off-site backups using a retention schedule of:
- 7 daily backups;
- 4 weekly backups; and
- 6 monthly backups.
Backups are not surgically modified when a deletion request is completed.
As a result, residual copies of deleted information may remain in encrypted backups until those backups age out naturally, generally within approximately seven months after deletion from active systems.
We do not restore deleted information from backup except where necessary for legitimate disaster-recovery, security, or legal purposes. If a backup restoration occurs, we will take reasonable steps to reapply completed deletion requests where appropriate.
11. Third-Party Retention
Third-party providers may retain information independently under their own policies, contracts, and legal requirements.
For example:
- Clerk may retain authentication or account records;
- Stripe may retain customer and payment records as required for financial, legal, fraud-prevention, or compliance purposes;
- Resend may retain email-delivery or transmission metadata;
- name.com and applicable domain registries may retain domain-registration records; and
- AI providers may process or retain listing information submitted for AI generation under their own applicable policies and service terms.
A deletion request to RE Microsites does not necessarily cause every third-party provider to immediately erase records it is independently required or permitted to retain.
12. Data Security
We use administrative, technical, and organizational safeguards designed to protect personal information.
Measures include:
- Authentication controls;
- Restricted administrative access;
- Encrypted off-site backups;
- HTTPS/TLS encryption in transit;
- Presigned direct uploads for media;
- Infrastructure access controls; and
- Separation between public microsites and authenticated dashboard functionality.
No online service or storage system can be guaranteed to be completely secure.
13. Privacy Rights
Depending on where you live and which laws apply, you may have rights relating to your personal information, including the right to:
- Request access;
- Request correction;
- Request deletion;
- Request a portable copy of certain information;
- Opt out of applicable sale, sharing, or targeted advertising;
- Limit certain uses of sensitive personal information where applicable; and
- Appeal certain privacy-request decisions where required by law.
RE Microsites does not sell personal information or use it for cross-context behavioral advertising.

We may need to verify your identity before fulfilling a request.
Authorized agents may submit requests where permitted by applicable law and subject to appropriate verification.
Even where a particular state privacy law does not apply to us, we will generally honor verified requests to access, correct, or delete personal information using the process described below, subject to legitimate legal, security, and recordkeeping requirements.
14. California and Other U.S. State Privacy Rights
Residents of certain U.S. states may have additional privacy rights under applicable law.
Depending on the jurisdiction and whether statutory thresholds apply to RE Microsites, those rights may include:
- Knowing what personal information is collected;
- Knowing the purposes for which it is used;
- Knowing categories of third parties receiving information;
- Accessing personal information;
- Correcting inaccurate personal information;
- Deleting personal information;
- Obtaining portable copies of certain information;
- Opting out of sale, sharing, or targeted advertising; and
- Appealing certain privacy decisions.
Because RE Microsites does not sell personal information or use it for cross-context behavioral advertising, we do not currently maintain a "Do Not Sell or Share My Personal Information" mechanism for those activities.
15. Global Privacy Control and Do Not Track
Because public RE Microsites pages do not use advertising trackers, marketing cookies, or cross-site behavioral advertising, Global Privacy Control signals do not currently change the behavior of public microsites.
Some browsers also provide "Do Not Track" signals.
There is no universally adopted technical standard governing all Do Not Track signals, and RE Microsites does not rely on behavioral tracking that would ordinarily be altered by such a signal.
16. Children's Privacy
The Service is intended for adults and business use.
Account holders must be at least 18 years old.
We do not knowingly collect personal information directly from children under 13.
If we learn that we have collected such information without appropriate authorization, we will take reasonable steps to delete it.
17. United States Service
RE Microsites is operated from the United States and is currently marketed to U.S. customers.
If you access the Service from outside the United States, your information may be processed or stored in the United States or other jurisdictions where our service providers operate.
Those jurisdictions may have different privacy and data-protection laws.
18. External Links
Microsites may contain links selected by the agent or links to third-party services.
RE Microsites is not responsible for the privacy practices, content, or security of external websites.
Any information you provide directly to a third-party website is governed by that third party's policies.
19. Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
When we do, we will update the "Last Updated" date.
If a change materially affects how we collect, use, or disclose personal information, we may provide additional notice where appropriate or required by law.
